TERMS AND CONDITIONS OF DIRECT LINEN HIRE

These Terms and Conditions apply to all linen hire services provided by Direct Linen Hire (“we”, “us”, “our”) to the customer (“you”, “the Hirer”). By placing an order, accepting a quotation, or taking delivery of goods, you agree to be bound by these Terms.


1. Definitions

  • Goods: All linen and associated items supplied on hire, including but not limited to tablecloths, napkins, chair covers, runners, sashes and accessories.
  • Hire Period: The period stated on the quotation or hire agreement, including delivery and collection dates.
  • Hire Agreement: The quotation, invoice, booking confirmation and these Terms & Conditions.
  • Event Date: The date on which the Goods are intended to be used.

2. Hire Basis & Contract Formation

2.1 A binding contract is formed once:

  • a quotation is accepted, and
  • payment (or agreed account approval) is received.

2.2 Quotations are valid for a limited period only and stock is not reserved until acceptance and payment are confirmed.

2.3 We reserve the right to refuse or cancel any booking where payment has not been received in accordance with the agreed terms.


3. Hire Period

3.1 The standard hire period is up to five (5) days, unless otherwise stated in writing.

3.2 Late returns may incur additional hire charges.

3.3 Goods must not be retained beyond the agreed Hire Period without prior written consent.


4. Delivery & Collection

4.1 Delivery and collection dates and methods are stated on the Hire Agreement.

4.2 Delivery may be carried out by:

  • our own vehicles, or
  • a third-party courier.

4.3 We are not responsible for delays caused by events outside our reasonable control, including courier delays, adverse weather, access restrictions or incorrect delivery information supplied by the Hirer.

4.4 The Hirer must ensure:

  • clear access for delivery and collection, and
  • that Goods are securely packed and ready for collection at the agreed time.

4.5 Failed or delayed collections caused by the Hirer may result in additional charges.


5. Inspection & Acceptance

5.1 The Hirer is responsible for inspecting the Goods immediately upon delivery or receipt.

5.2 Any shortages or concerns must be reported within 24 hours of delivery.

5.3 Failure to notify us within this time constitutes acceptance of the Goods as supplied.


6. Use of Goods

6.1 Goods must be used only for their intended purpose.

6.2 The Hirer must take all reasonable care of the Goods at all times.

6.3 The Hirer must ensure:

  • Goods are kept away from naked flames where possible,
  • candles are used with appropriate protection (e.g. drip trays or holders),
  • Goods are not used outdoors unless agreed in writing.

7. Cleaning & Laundry

7.1 All professional laundering is included in the hire price.

7.2 The Hirer must not attempt to wash, dry, iron or treat the Goods.

7.3 Linen must be returned unwashed, free from excess debris, and placed in the transport containers provided.


8. Loss, Damage & Irreversible Staining

8.1 The Hirer is fully responsible for the Goods from delivery until collection.

8.2 While we expect minor food and drink marks, the following are considered irreversible damage and may incur replacement charges:

  • candle wax
  • oil or grease
  • ink or paint
  • adhesive, tape or glue residue
  • mildew or mould
  • rips, tears or burns
  • excessive soiling beyond normal laundering

8.3 Charges will reflect replacement cost or repair cost, at our discretion.

8.4 Damage charges will be invoiced following inspection after laundering.


9. Missing Items

9.1 Any missing items will be charged at full replacement value.

9.2 Counts are final following post-hire processing and reconciliation.


10. Cancellations & Reductions

10.1 Cancellations must be made in writing.

10.2 Cancellation charges may apply depending on notice period and preparation stage.

10.3 Reductions in quantities may not be accepted within a short period prior to the Event Date, as linen is prepared in advance.


11. Payment Terms

11.1 Payment must be made in accordance with the Hire Agreement.

11.2 Late payments may incur:

  • interest under the Late Payment of Commercial Debts (Interest) Act 1998, and
  • reasonable recovery costs.

11.3 Trade accounts are subject to approval and may be withdrawn at our discretion.


12. Liability

12.1 Our liability is limited to the hire value of the Goods supplied.

12.2 We shall not be liable for:

  • indirect or consequential losses,
  • loss of profit,
  • event cancellation costs,
  • delays beyond our reasonable control.

12.3 Nothing in these Terms limits liability for death or personal injury caused by negligence.


13. Force Majeure

We shall not be liable for failure or delay caused by circumstances beyond our reasonable control, including but not limited to acts of God, extreme weather, industrial action, or transport disruption.


14. Title & Ownership

All Goods remain the property of Direct Linen Hire at all times.


15. Governing Law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
